You can read and send emails from your hosting email account directly within Gmail. This is convenient if you prefer Gmail's interface but want to use your custom domain email.
Part 1: Receive Emails in Gmail (Import via POP3)
1. Log in to your Gmail account.
2. Click the gear icon and select "See all settings."
3. Go to the "Accounts and Import" tab.
4. Under "Check mail from other accounts," click "Add a mail account."
5. Enter your hosting email address and click "Next."
6. Select "Import emails from my other account (POP3)" and click "Next."
7. Enter the following:
- Username: your full email address
- Password: your email account password
- POP Server: mail.yourdomain.com
- Port: 995
- Check "Always use a secure connection (SSL)"
- Optionally check "Leave a copy on the server" if you access email from other devices too
8. Click "Add Account."
Gmail will now check your hosting email periodically and import new messages.
Part 2: Send Emails from Gmail as Your Domain Address
1. After adding the POP3 account, Gmail will ask if you want to send mail as this address. Select "Yes."
2. Enter your name as you want it to appear to recipients.
3. Uncheck "Treat as an alias" if you want replies to go to your hosting email.
4. Click "Next Step."
5. Enter the SMTP settings:
- SMTP Server: mail.yourdomain.com
- Port: 465
- Username: your full email address
- Password: your email account password
- Select "Secured connection using SSL"
6. Click "Add Account."
7. Gmail will send a confirmation code to your hosting email. Check your inbox (or webmail) for the code.
8. Enter the confirmation code and click "Verify."
Sending Emails as Your Domain
When composing a new email in Gmail, click the "From" field to choose which address to send from. You can set your hosting email as the default sender:
1. Go to Settings then "Accounts and Import."
2. Under "Send mail as," click "Make default" next to your hosting email.
Important Notes
- Gmail checks POP3 accounts periodically, not instantly. New emails may take a few minutes to appear.
- For real-time sync, consider using IMAP with a dedicated email client instead.
- Ensure your hosting email password is correct; Gmail will stop checking if authentication fails.
