How to Set Up Email in Microsoft Outlook

Microsoft Outlook is one of the most popular desktop email clients. This guide walks you through adding your hosting email account to Outlook.

Automatic Setup (Outlook 2016 and Later)

1. Open Outlook.
2. Go to File then Add Account.
3. Enter your full email address (e.g., info@yourdomain.com).
4. Click "Connect."
5. Enter your email password when prompted.
6. If automatic configuration works, Outlook will set up the account.

If automatic setup fails, use the manual method below.

Manual Setup

1. Open Outlook.
2. Go to File then Add Account.
3. Select "Manual setup or additional server types" (or "Advanced options" then "Let me set up my account manually").
4. Select "IMAP" as the account type.
5. Enter the following settings:

Incoming Mail (IMAP):
- Server: mail.yourdomain.com
- Port: 993
- Encryption: SSL/TLS
- Username: your full email address
- Password: your email password

Outgoing Mail (SMTP):
- Server: mail.yourdomain.com
- Port: 465
- Encryption: SSL/TLS
- Username: your full email address
- Password: your email password
- Authentication: Required (same credentials as incoming)

6. Click "Next" or "Connect."
7. Outlook will test the connection. If successful, click "Done."

Troubleshooting Common Outlook Errors

"Certificate does not match" warning: This can occur if you use a hostname that does not match the SSL certificate on the mail server. Try using the server hostname provided in your welcome email instead of mail.yourdomain.com.

"Authentication failed": Double-check your email address and password. Passwords are case-sensitive. Try logging into webmail first to confirm your credentials work.

"Cannot connect to server": Verify the server hostname, port, and encryption settings. Ensure your firewall or antivirus is not blocking Outlook's connection.

Slow synchronization: If your mailbox is large, the initial sync may take time. Let Outlook download all messages in the background.

Outlook Profile Reset

If you continue having issues, try creating a new Outlook profile:

1. Go to Control Panel then Mail then Show Profiles.
2. Click "Add" to create a new profile.
3. Set up the email account in the new profile.
4. Set the new profile as the default.
